What's the Difference Between a Wedding Planner and a Day-of Coordinator?

A full-service wedding planner typically handles everything from researching and booking vendors to managing contracts, budgets, decorations, and the entire planning process.

Our service is a little different, and our pricing reflects that.

We focus on coordinating the services you've already booked rather than planning your entire wedding for you. This allows us to offer a much more affordable option for couples who don't need all the extras.

Our responsibilities include:

Organizing your ceremony timeline and logistics.
Preparing and submitting Kualoa Ranch's required paperwork.
Collecting vendor information and arrival details.
Providing final parking, check-in, and arrival instructions.
Coordinating your ceremony processional and wedding-day schedule.
Communicating with your vendors on the wedding morning.
Helping keep everything running smoothly during your reserved time.

We also fulfill Kualoa Ranch's requirement to have an approved day-of coordinator on-site.

Please note: Our day-of coordination services are offered exclusively as part of our photography + coordination package. We do not offer standalone coordination services, although photography-only packages are available.

What Happens After Booking?

Once your photography and coordination package is reserved, we'll send you a questionnaire to collect your wedding details.

Couples are responsible for selecting, booking, contracting, and paying their own vendors, including their officiant, florist, hair and makeup artist, and musicians.

We'll organize the vendor information you've provided and prepare the necessary coordination documents for Kualoa Ranch.

3 Weeks Before Your Wedding

Your coordination questionnaire is due per the venue.

We'll collect important details such as your guest count, ceremony preferences, vendor contact information, and any special requests.

2 Weeks Before Your Wedding

We'll prepare and submit Kualoa Ranch's required wedding paperwork using the information you've provided.

It's important to have your vendors booked before this deadline so everyone requiring venue access can be included.

The Final Week Before Your Wedding

We'll email your final wedding instructions, including:

Arrival and check-in times.
Parking instructions and location maps.
Guest and vendor arrival details.
Ceremony timeline reminders.
Important venue rules and requirements.

You'll be responsible for forwarding these instructions to your guests and vendors so everyone has the same information.

What Does the Coordinator Do on the Wedding Morning?

Our standard morning elopement coverage takes place from 7:00 AM to 9:00 AM at Paliku Gardens.

Your coordinator's primary responsibility is to stay with the bride and/or groom, assist with ceremony preparations, coordinate vendors, and help keep the morning organized.

This includes:

Communicating with your officiant and other vendors.
Helping organize the wedding party and processional.
Cueing family members when it's time to walk.
Keeping the ceremony on schedule.
Assisting with guest direction and ceremony logistics.
Helping transition everyone into family portraits.
Coordinating with the photographer throughout the morning.

Our coordinator focuses on the people and the schedule, rather than decorating or physically setting up the ceremony space.

This allows your photographer to concentrate on capturing the important moments while your coordinator handles the logistics.

What's NOT Included in Our Day-of Coordination Services?

Because our package is designed as an affordable alternative to full-service wedding planning, there are some responsibilities that fall outside our services.

Our coordination package does not include:

Booking, contracting, or paying wedding vendors.
Ceremony decorating or floral arrangement setup.
Furniture, arch, or rental installation.
Flower pickup or delivery.
Transportation arrangements.
Guest accommodation or travel planning.
Reception planning.
Professional cleanup or decoration breakdown.
Full wedding rehearsals or site visits.

Floral Pickup: If you'd like our team to handle picking up your flowers, we would need to arrange a second coordinator at an additional fee. This allows your primary coordinator to remain on-site with the couple.

For decorations and floral arrangements, you're welcome to have family members or friends handle the setup, or hire a florist or decorator who can provide delivery, setup, and breakdown.

Our coordinator will not leave the couple to set up decorations.

A Few Things to Keep in Mind

Hair and Makeup: Because morning elopements start early, your appointment may need to begin around 3:00 or 4:00 AM, depending on where you're staying. Some artists charge extra for early appointments.

Flowers and Decorations: We recommend keeping floral installations relatively simple. With venue access beginning at 7:00 AM and the reservation ending at 9:00 AM, there isn't much time for elaborate setup and breakdown.

Officiant: You'll need a legally authorized officiant if you're getting legally married. A qualified friend or family member may also officiate if they meet Hawaii's legal requirements.

Venue Fees: Your Kualoa Ranch reservation and any additional photography access fees are separate from our packages.

What Wedding Services Are Actually Required?

For a typical legal morning wedding at Paliku Gardens, the essentials are:

Kualoa Ranch venue reservation: Booked separately through the ranch.
Approved day-of coordinator: Required by Kualoa Ranch.
Legally authorized officiant: Required for a legal wedding ceremony.
Hawaii marriage license: Required for couples legally marrying in Hawaii.

Professional photography, hair and makeup, flowers, live music, and decorations are generally optional.

Although photography isn't required by Kualoa Ranch, our day-of coordination services are only available when booked with our photography package.

Can We Take Wedding Photos Outside Paliku Gardens?

Absolutely! There are several beautiful photography locations around Kualoa Ranch and the surrounding windward coast.

Your morning reservation allows photography within the approved areas of Paliku Gardens during your reserved time.

Between the tropical gardens, mountain views, and ocean scenery, there's already plenty of variety without leaving the venue.

Photos at Other Kualoa Ranch Locations

Kualoa Ranch has several incredible photography locations, including the Jumanji filming area and Moliʻi Gardens. However, these areas are not automatically included with your Paliku Gardens reservation.

We recommend confirming availability and access requirements directly with Kualoa Ranch before planning additional locations. They just changed their photography location list as of September 2026.

Photos Outside Kualoa Ranch

Another option is to continue your photography session at a nearby public location, such as Kualoa Regional Park or Kahana Bay.

For couples who have booked photography with us, we offer an additional hour of photography for $350, including 50 additional edited images and a photography permit for an eligible nearby state park.

Travel time between locations is included in your photography coverage, so we recommend choosing somewhere close.

Can We Bring Our Own Decorations?

Yes! You're welcome to bring your own decorations as long as they comply with Kualoa Ranch's policies and receive any necessary approval.

Popular items include ceremony signs, floral arrangements, memorial items, vow books, and personal decorations.

Our coordinator does not handle ceremony setup, decorating, or floral arrangement placement.

Their responsibility is to remain with the couple and manage the ceremony logistics.

If you'd like decorations or flowers arranged before the ceremony, please designate family members or friends to handle everything, or hire a professional vendor for setup and breakdown.

We also have a small selection of decorative items, including candles, fabric, and stools, that may be available for use. Your designated family members or vendors must handle their setup and removal.

We do not provide a ceremony arch.

All decorations must be removed and the ceremony area cleaned before your reservation ends.

Can We Have Flower Petals During the Ceremony?

Flower petals are subject to Kualoa Ranch's strict cleanup requirements.

Heavy petal aisles and petal tosses can be difficult to clean up, especially when petals blow into the surrounding grass.

For this reason, we generally discourage large petal arrangements.

If you're considering petals, please discuss your plans with us beforehand. You will need designated people responsible for setup and complete cleanup.

Additional cleanup charges may apply if anything is left behind, and a cleanup acknowledgment may be required.

What Happens if It Rains?

Kualoa Ranch is located on the windward side of Oahu, where passing rain showers are common.

Fortunately, many showers are brief, and cloudy skies can actually create beautiful, soft lighting for wedding photos.

We recommend preparing for possible rain and bringing a few clear umbrellas.

We'll help adjust the ceremony timeline when possible, but any significant venue changes or weather-related decisions are subject to Kualoa Ranch's policies.

What Time Should We Arrive?

Our standard morning elopement reservation is from 7:00 AM to 9:00 AM, and Kualoa Ranch opens the entrance gate at 6:45 AM at the earliest.

We recommend arriving around 6:45 AM to allow time for check-in, parking, and getting settled.

Guests and vendors cannot enter before the gate opens.

You'll receive detailed arrival instructions before your wedding. Please allow extra driving time, especially if you're unfamiliar with the area.

How Long Should Our Ceremony Be?

Most intimate elopement ceremonies last approximately 10–20 minutes.

Can We Do a First Look?

How Much Time Do We Have for Couple Photos?

This depends on your ceremony length, whether you're planning a first look, and how many guests you're bringing.

More guests typically mean more family photo combinations, which leaves less time for couple portraits.

With only two hours at Paliku Gardens, we recommend keeping your family photo list manageable and prioritizing the groupings that matter most.

If you'd like more portrait time or photos at another location, additional photography coverage is available.

Can We Include Children or Family Members in the Ceremony?

Absolutely! Parents, children, siblings, and close friends can participate in your ceremony.

Please include their roles in your coordination questionnaire so we can organize the processional and timeline.

For younger children, we recommend assigning a trusted adult to supervise them. Childcare is not included in our coordination services.

Do We Need a Wedding Rehearsal?

Most smaller elopements don't need a formal rehearsal.

Our coordinator can explain the ceremony processional, cue family members, and help everyone understand where to stand.
